Avanti Systems, best known for their modular Print Management Information System (Print MIS), has more than 20 years in the industry of providing business management solutions. They have developed eAcess as an addition to their print solutions suite.  eAcess is a web to print system that primarily provides printers with a portal where print order transactions can be facilitated online.

The eAcess web to print system has basic e-commerce functionality like shopping cart and online catalog interface.  As is though, it doesn’t allow credit card payment options.  To enable this, eAcess has to be integrated with Avanti’s Web Payment module. For variable data printing, eAccess allows minimal personalization through template forms of products like business cards and stationery. Personalized print items can be verified by customers through the soft-proofing module.

eAccess web-to-print can be fully integrated with Avanti’s Print MIS and all of its modules can be customized and scaled depending on the needs of a client. Possibly, a contract price for the web to print solution is determined only after system customization requirements have been completely laid down.  Avanti offers onsite training and documentation based on a client’s tailored eAccess system.

Avanti eAcess Web to Print modules:

1. Fulfillment/Online Catalog – This is the e-commerce module of eAccess. It is a customizable fulfillment catalog where print products can be displayed. The module allows keeping track of inventory and has a back order function that works when there are inventory shortages.

2. RFQ – The Request For Quotation module of eAccess or RFQ, provides customers with an online form where they can instantly get the cost of a print job order.

3. Job Submission –  eAccess has an interface where print job orders can be submitted and files with artwork can be uploaded. Received orders are acknowledged, and order tracking numbers are sent  through emails.

4. Order Approval –   Multi-level approval structure  is set through this module.  Personnel assigned to approve print orders are notified via email once a print job is submitted.  Since the print budget limits are defined, an approver can immediately see if a job order should be given a go signal or cancelled.

5. Variable Form Template – letterhead, envelopes, business cards and stationery and other print products that has variable data can be personalized through eAcess web to print.

ColorGATE is a software development company with an impressive stable of RIP, workflow and color management software for printing industry. One of the solutions is dedicated to web-to-print.

ColorGate web-to-print

CG web-to-print software sounds flash and has a lot of features, but there is simply no way to verify anything because no live demo or an identifiable customer website is available. One of the demo websites (http://www.colorgate-w2p.com/) featured in this demo video (http://youtu.be/__PXq9I366c) says it’s coming soon. It has been for quite a while. Another site (http://www.xxl-fansticker.de/) featured in their marketing is password protected.

ColorGATE’s web-to-print solution comes in two packages:

  1. Web-to-print ASP
  2. Web-to-print Unlimited

ASP version of the web-to-print package is somewhat limited to the templates built in it. It does contain some basic layouts for business cards, posters, banners and other common printing products that can be personalized completely. ASP stands for Application Service Providing, meaning that you use the updated software via powerful server technology. Administration, data backup or servers are all taken care of for you.

The limit for data storage is 4GB, which is enough to host a tiny website with a handful of products and a hardly ever any orders. 4GB is nothing when it comes to web-to-print.

Unlimited version of the web-to-print package contains all the features of the ASP version and a significant number of additional options as well. The best of which is the interactive PDF editor that allows customers to personalize your PDF files online. Apart from uploading ready PDF files to be used as templates in your store, the software can create PDF files from Microsoft Office files (Word and PowerPoint) automatically.

They also offer an option of integrating an external module for accessing your Fotolia account. This means that your customers can have access to over 12 million images to use in the personalization.

Cost

This is where things get tricky. Keeping in mind that the cheaper (ASP Web-to-print) annual license is almost 6000€, it just doesn’t seem affordable for small businesses. On top of that, they also take a cut depending on the profit you’ve made. Starting from 5% for 1€ and coming down to 2% if you’ve made 5000€.

If you want to take advantage of the Ultimate web-to-print package, the license will cost you 40.000€ not including some modules that come at an extra cost. You might as well hire a renaissance painter to stand by the phone and take orders from customers for that kind of money.

GMC PrintNet, GMC Software Technology’s offer to print service providers, has the fundamentals of web-to-print solutions such as work flow automation, online approval and digital proofing. Although, some basic web to print features such as  dynamic imaging, interactive customization, and variable data printing are not directly available.  GMC PrintNet doesn’t offer e-commerce modules like shopping cart, storefront branding, order, billing, payment, and shipment options out of the box, but they can be built on top of or integrated with the software.

The highlight of both the desktop solutions, PrintNet Designer, and web-based PrintNet Interactive, is  personalization of internal and customer correspondence and data manipulation from CRM systems.

Online Print Solutions started in the industry 9 years ago. At present, they have a mature web to print product suite that can handle corporate print management,  dynamic design, marketing, variable data printing and  retail.  Separate web to print modules deal with each of these areas.

The OPS Retail Solutions module offers template-based interactive personalization, online proofing, pre-flight, and online print job submission at a business to customer level. From the main page of the OPS Retail Site, users can view the product catalog , upload a print job, manage orders, and access the web dashboard. Users can also navigate to the Approval Page, VWeb Module, Reports, and the Administration Menu. The shopping cart is prominently displayed on the page. If there are any products ready for check-out, computation of the quantity and amount of order is shown.

  • The GroupCanvas module through the LiveSession feature allows users to collaborate on dynamically designing a print job. Users can be invited to join a design session where they can all view the same screen and input changes online. On the OPS Retail Solutions, campaign materials can be customized through the GroupCanvas module. Templates for a 2-page corporate brochure and a 1-page real estate flyer are available on the OPS Retail Site.

Variable data printing

  • Variable Data Printing is possible through the VPrint and Image Builder Combo feature of OPS. This feature allows personalization of marketing materials to make them more customer directed while corporate branding is still maintained and managed.  The VPrint module also allows delivery of personalized communications. It can be integrated with data vendors such as AccuData and USAData. On the OPS Retail Site, a 1-page car I\insurance Letter, a water company dealer postcard, and a Tuffy postcard, all of which can all be customized online, are available as sample templates.

HTML Templates

  • OPS Retail Solutions has HTML email templates that can be used when email campaign strategies are implemented. The OPS email templates are guaranteed to work with most email programs such as Outlook 2007, Lotus Notes and Gmail. The OPS Retail Site mentions that 4 email templates are available, but on the date of this post, only one sample template seems to be working.

  • VWeb works hand in hand with the OPS SmartCampaigns system in utilizing variable data printing  technology for direct and targeted marketing that can either be through email, print, or SMS. VWeb website templates are featured on the OPS Retail Site product catalog.  These pre-designed website templates work well for users who want to launch a website right away. Those who want a more customized site may change features on the template. Variable video may be embedded on the website. There are 2 sample templates on the OPS Retail Site, an Extra Car PURL sample, and a bank PURL template.

VWeb campaigns are managed through the VWeb dashboard. Through the dashboard, users can create, view, deactivate and keep track of launched campaigns.

For automatic print job submission OPS Retail Solutions has the NexJob module.  This module is an add-on module to OrderDesk. It works as well as an instant pricing and estimation tool. After specifications for an order has been placed, the system allows users to send a price quotation request estimates with a link to either accept or reject the quoted price is sent back through email. Aside from the submission tool, OPS Retail Solutions also has an approval system structure where authorized administrators can view details or orders, and post approval comments.

OrderDesk is the OPS web to print system that enables centralization of ordering and fulfillment of print service needs within an organization. Online order approval at different levels, stock status viewing, and reports generation are some of the features of this module. OrderDesk can  be customized and branded. PrintMIS has been developing print management software since 2003.  They recently E Flo Expedite and E Flow Discovery as their web to print solution. These two modules integrate into their main MIS product suite E Pro.

  • E Flo Expedite is a storefront with a design interface that requires Silverlight, a marginal media technology from Microsoft. The text and image editing capabilities of the design tool adhere strictly to template rules. Expedite also has a multi-level order approval feature and  a reporting engine. Previews are only available if Acrobat Reader plugin is installed on the client computer. Reports can be in MS Word, MS Excel, PDF or HTML format.
  • E Flo Discovery primarily deals with online  quotation, print job scheduling and progress tracking. It also has a design interface. Both solutions need to be integrated with either E Pro Core or E Pro Enterprise to optimize their web to print benefits.

PrintSites has been providing print management technology since 2009.  One of the main features of their web-to print system is the PrintSites Design Studio which allows interactive customization of designs and templates.  Through a web storefront, customers may upload their own design or change the background, text and images on a pdf template of a print product.

Other features of their web to print solutions package include digital proofing and approval utilities, and marketing tools such as broadcast email, discount and promo code utilities are also available.   For their websites, clients have 2 options: they may build an entirely new e-commerce website, or they may link their old site to one that will be hosted by PrintSites.

ROI360 offer web-to-print and dynamic imaging solutions based on Pageflex. They are an up-market, high cost Pageflex reseller offering hosted solutions, Pageflex extensions and custom services around the products. The base technical capabilities of the product are the same for as for any other Pageflex implementation.

ROI360 offers fully managed and fully hosted Pageflex solutions. They provide technical support, training, IT infrastructure, Pageflex software, custom development and more. There are no per-transaction fees, but the pricing is at the high end of scale.

ROI360 have chosen Pageflex as the base technology solution to offer to their customers. The Pageflex storefront allows you to set up branded web portals for customizing and distributing all types of documents and it can be used as a web-to-print and dynamic imaging solution.  ROI360 claims to have developed over 75 extensions for the Pageflex system, but only a few of them are listed on their website:

  • Variable database – shows template variables in a data file accessed from a drop down list as part of the “form filling” step;
  • XML export – Automatically creates a XML file containing required item information and send it to a third party system ERP, MIS or CRM system;

E-commerce

A no-frills online shop like Pageflex storefront is usually enough for simple corporate web-to-print ordering, but may struggle against fast and sleek consumer-orientated online shops.

Pagelfex as an e-commerce solution is outdated and falls behind what today’s e-commerce software has to offer. Compare the features to something like Magento or BigCommerce to see the difference. Just having a shopping cart and credit card payments is no longer enough, specially in a B2C situation.

Storefront branding

Branding and interface customization are limited to basic CSS and HTML changes. The overall structure of the storefront is static but the colors, images and backgrounds can be customized to fit a certain design. External content can also be added to the sidebar.

Web-to-print personalization features

The personalization and ordering process is easy to use and is separated into 3 basic steps (Form filling, Options and Finish). It is powered by Pageflex.

Variable web-to-print text

Variable text frames within the design are represented by corresponding text input fields in a form. Customers are able to input their own texts, update the preview image and get a PDF preview file right away.

Extensions such as the “Text style pack” plugin that was developed by ROI360, introduce additional text editing features in the personalization process.

With this extension, users can change the font size, weight, color and even the font face it self.

Variable web-to-print images

Variable web-to-print images can be supplied by the site’s admin as stock images or can be uploaded by users.Uploaded images remain in the image library for future use.

There is no way to edit an image once it is uploaded, nor there is a way to delete it. Users can rename or hide them. Unfortunately the quality of the thumbnails in the library make images unrecognizable as in the screenshot below.

Template autoresizing

A very impressive auto-resizing feature allows customers to change the size of the output document on the fly, according to pre-programmed rules. All elements on the page shift according to a complex set of rules.

As you can see, the template itself is very simple. Add few more graphic elements and it would fall apart. Even as is, the text became unreadable.

It may actually work on simple templates like this when the change is not too far from the original size and the general proportions are retained.

Variable colors

Users can change the overall look of the design with a single click, as part of the personalization process. Shape colors, images and overall style of the design can be grouped into separate sets that are represented as stylized buttons at the top of the input form. This allows owners to offer a completely different style of the same business card or just a different background color.

Email templates

One of the cross-media features is preparing an HTML email layout from a template. The user gets the same form as for web-to-print and can see a live HTML preview, which is later merged with the database. It is a good feature for non-technical users and should be OK for basic applications. Compare it to what MailChimp and other newsletter services can do these days for free or next to nothing.

Template creation

Designers can turn Adobe InDesign artwork documents into variable data web-to-print templates using the Pageflex Studio ID tool which adds an additional palette within InDesign, used to assign personalization fields.

File uploading

Custom file uploading is basic, but has a built-in filter for file types. Users have to upload the files one by one, which is a lot of waiting around if they have more than one large file. It has no support for uploading multiple files at the same time. Uploaded files are checked for correctness, e.i. file type and size. Once the file is uploaded the user gets to see a small preview of the file contents. Uploaded files are added to the user library.

Variable data and databases

ROI360 offers a neat feature of merging a customer uploaded database with templates on the site. It’s a pretty standard process:

  • choose a template
  • download a CSV with the field names
  • populate the values
  • upload it back to the site
  • review the uploaded dataset
  • generate a sample PDF

It would all be fine, but the site kept returning an error message instead of a sample PDF no matter what.

Also, there is no way to see the template itself before the dataset is uploaded as on the screenshot below.

The contents of the uploaded file can be previewed as a table.

And then a bit of anticlimax in the end as the site refused to generate the preview even on the dataset generated by the site itself.

ROI360 performance issues and errors

ROI360 hosts with Host-IT UK on 80.93.168.* subnet. Their own website, their demo site (http://oracle.pageflex.co.uk) and a case study website (http://www.eazy-designer.com) were a bit too slow taking 10 – 30 seconds to load a page. The screenshot below is a typical page load with most of the contents already cached by the browser. It didn’t improve after multiple page reloads.

The performance was somewhat better a day later, but some pages were still too slow to load for the average user to enjoy the site.

Few more clicks around their demo site gave us an error for no particular reason and then again few more times.
